Position: Editorial Coordinator, BMJ Open

Contract:12 month fixed term contract

Salary:  £36,216 per annum 

Start date: ASAP

 

BMJ Open is seeking an Editorial Coordinator to join their in-house editorial team. The role will involve managing the processes in the peer review workflow, freeing editors to handle papers and provide a better turnaround time and author experience are essential and to coordinate editorial and freelancer tasks on BMJ Open. 

Responsibilities

  • Coordinating and prioritising tasks for freelancers and agencies
  • Collating, managing, and sending queries to the Associate Editors
  • Reviewing and moderating eLetters/sending for decision by editors as necessary
  • Completing in-system editorial changes on behalf of authors. 
  • Making personal contact with overdue reviewers/authors where system-generated emails have not been responded to. 
  • Resolving objections to or answering queries about the open peer review policy; ensuring the policy is met by all reviewers. 
  • Judging and, if necessary, modifying older versions of manuscripts to ensure they don’t contain sensitive data prior to online posting as part of the prepublication peer review history 
  • Responding to presubmission queries and queries about editorial policies, e.g. trial registration, open peer review 
  • Tracking priority papers (e.g. COVID-19 papers) and sending to the editors for expedited triage
  • Managing and overseeing submitted content, ensuring the tasks are distributed according to resources
  • Screening iThenticate reports (online text-matching tool) which report potentially unethical levels of overlap (plagiarism) and determining appropriate action according to COPE guidelines 
  • Working with transfer editor o help coordinate transfers. 
  • Liaising with authors of transferred articles to ensure necessary revisions have been made for editorial assessment and actioning the next step in peer review
  • Assisting the Editor-in-Chief on ongoing papers with ethical issues, etc. For example, finding institutional email addresses, following up with institutions, authors, etc.
  • Help managing  recruitment (e.g. dealing with freelancer applicants, assisting with contracts) 
  • Leading social media engagement 
  • Running journal reports- running and creating editorial reports to monitor overall editorial performance and specific aspects (e.g. relating to backlogged papers, editor by editor performance comparisons)

Qualifications

  • Proven experience of working in the editorial office of a peer-reviewed journal or journal publisher, with a strong understanding of the peer review process, and the stages a manuscript goes through to be published. Will need to be numerate and spreadsheet-proficient, knowledgeable of formulae and advanced functions in Excel or Google Sheets. 
  • Capable of learning the role with minimal training. 
  • Experience of supervising paid (freelance) and voluntary (peer reviewer) stakeholders.
  • Experience of working with a peer-review management system (eg. ScholarOne (ideally), Editorial Manager)
