    An exciting opportunity has arisen for a Administrative Assistant in the Journals Department. This is a varied and busy role that requires excellent administration, organisational and communication skills.

    Responsibilities

    • General secretarial and administrative duties including routine email enquiries, post, stationery orders and diary maintenance for the team
    • Photocopies, scans and files appropriate documents
    • Manage and maintain general/department-wide information gathering e.g. GDPR-related requirements
    • Processing invoices and payments and maintaining and updating payment schedules
    • Manage expenses for the departmental credit card
    • Acting as the first point of contact for any financial queries
    • Organising internal and external meetings including catering, reception passes and documentation
    • Assist team members with organising travel and accommodation for internal and external staff
    • Support team members with the set up of new staff members
    • Organising departmental and ad hoc meetings when required
    • Attending and minuting departmental meetings
    • Assist with organising events when necessary

    Qualifications

    You will have experience working as an administrator, or hold similar related skills. You must have excellent written and verbal communication skills and a proactive attitude. You must have the ability to prioritise your workload, be well organised, and have excellent attention to detail. You must be numerate and proficient in the use of Microsoft Office. Basic web skills are desirable.
